Almost every failed airport transfer traces back to one of five causes: the vehicle was dispatched against the scheduled arrival time instead of the actual one; the waiting allowance was too short to survive an immigration queue; the booking record did not carry a terminal or exit; there was no reserve vehicle when the assigned car failed; or nobody told the passenger anything while it was going wrong. Every one of those is a process defect, which means every one of them can be designed out in advance.

Dispatch should be triggered by the aircraft, not the booking. Allowances measured from the scheduled arrival time rather than the actual one are, in practice, no allowance at all. Meet-and-greet is a defined protocol, not a courtesy. Kerbside pickup is a legitimate and cheaper alternative product, but it should be sold under its own name so buyers can compare like with like.

Failures still happen, so the recovery path matters as much as the primary one. A reserve vehicle and standby chauffeur on every airport shift converts a mechanical fault from a missed transfer into a delay of a few minutes. The passenger should be informed before they notice anything is wrong; a proactive message with a revised time is the difference between an incident and a complaint. The operating rules behind an on-time pickup

Airport transfers fail in a small number of predictable ways: the flight moves, the terminal changes, the guest exits a different door, the driver is dispatched too late, or nobody can reach anyone when one of the first four happens. A reliability playbook is simply a written answer to each of those, applied the same way every time rather than improvised by whoever is on shift.

Flight tracking is the first control. Every airport booking is linked to its flight number and monitored from wheels-up at origin, not from the scheduled arrival time. When the inbound slips, the chauffeur's dispatch time slips with it automatically; when it lands early, the car is repositioned early. The fixed fare does not change in either direction, which removes the incentive to argue about who caused the delay.

Positioning is the second. Chauffeurs are staged near the terminal ahead of touchdown rather than dispatched on arrival, because the difference between those two policies at DXB Terminal 3 during a bank of morning long-hauls is roughly 25 minutes. Sixty minutes of complimentary waiting from touchdown is built into the published fare so that immigration queues, baggage delays and a slow first-time visa desk are absorbed rather than billed.

Meeting points are pre-agreed per terminal, in writing, at booking. DXB Terminal 3 and Terminal 1 both have inside-arrivals meet-and-greet with a name board at the exit gate; Terminal 2 uses the shorter pickup bay; DWC and the Al Bateen FBOs use apron-side or lounge-side staging depending on the operator. If a terminal is reassigned in the air, dispatch moves the car and messages the guest before landing.

Communication is the control that saves the other four. The guest receives the chauffeur's name, photo, plate and direct number before departure, plus a live tracking link. Dispatch is reachable 24/7 by phone and WhatsApp and can see the same booking record the driver sees, so nothing needs re-explaining. For corporate accounts, a nominated coordinator receives the same notifications.

Failures still happen, and the honest part of any playbook is what happens then.
